How can I manage patient statuses and archiving within the system?
Managing patient statuses and archiving within the SleepTestCRM system is a straightforward process.
Patient statuses are automatically updated as the patient proceeds through their SleepTest referral. You’ll find the following statuses:
- Draft - The patient’s information has been entered into the system, but the patient has not yet fully confirmed the information in the referral.
- In Process - The patient’s referral has been submitted, and SleepTest is actively working on their case. This includes verifying insurance, scheduling a telemedicine visit (if needed), shipping the home sleep test, and waiting for the patient to complete their test. The case remains in this status until the test is completed and the results are reviewed.
- Diagnosed - The patient has completed their home sleep test, and a sleep physician has reviewed the results. A diagnosis has been made, and the report is available. At this stage, the patient may need to schedule a follow-up visit or discuss treatment options with their provider.
- Completed - All the patient’s sleep test steps have been finished. This includes reviewing results, completing necessary follow-up appointments, and finalizing the case. No further action is required unless the patient needs additional testing or treatment.
- Archived - The patient’s case is no longer active but remains saved in the system for reference. This status is used when a provider wants to keep a record but does not need to take further action. Archived patients do not move forward in the workflow.
Archiving Patient Records
Archiving helps manage patients who are no longer active but whose records you want to keep for you to refer to. However, not all patients can be archived immediately. Here's how:
- Verify the Patient’s Status
- Locate the Patient Record
- You can search or navigate the appropriate tab to find the patient you want to archive.
- Click Archive to move the record to the archived section.
Note: Patients in the Draft tab cannot be archived and must be deleted.
Access and Restore Archived Records
- To view archived records, go to the Archived section within the CRM.
- You can restore a record from this section by selecting the Un-Archive option if needed.
